Promotes resident satisfaction and retention through prompt conflict resolution, consistent follow-up, and addressing issues as they occur. Assists in managing the client/owner relationship by meeting with residents, conducting community tours, providing updates and information about the community’s performance, and responding to owner requests as needed.

Manages the day-to-day operations of a residential community by scheduling and distributing work assignments to employees, monitoring progress against established KCP measurements to ensure customer service goals are met, managing staffing and training, and reviewing expenses to control the budget.

What Does a Leasehold Services Manager Do?

Monitors the progress of maintenance and make-ready projects by coordinating with staff, inspecting properties and responding to problems as they arise, and ensuring all projects are completed in accordance with Company policies, procedures, and business practices. Reviews and approves expenditures for maintenance items and makes necessary changes to the project plan when required.

Coordinates with the leasing department and residents to provide a positive experience for new residents by completing application forms, explaining community rules and regulations, assisting with move-ins and providing information about community programs and services. Maintains a positive relationship with new residents by maintaining frequent contact with families, responding to questions and concerns, and referring issues to management when necessary.

Develops and implements employee career development plans, provides ongoing supervision, reviews and distributes work assignments, and coordinates employee training to maximize productivity and profitability of the lease services department. Assists with the review and approval of all credit, documentation and funding transactions to ensure customer service goals are met.

Inspects and manages property visits for the purposes of occupancy compliance checks, posting notices, coordinating utilities, eviction lockouts, and other activities as needed. Completes initial and annual inspections for Section 8 properties (HUD housing choice homes) in compliance with HUD program regulations and policy. Acts as a liaison with governmental representatives to ensure compliance with local building codes, zoning ordinances, and Housing Quality Standards.

Supports and assists the Community Manager with accounting and financial tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits and dispositions, and using property management software to record and report on all financial workings of the community.

Performs administrative functions by ordering supplies, negotiating vendor contracts, and implementing beneficial health, entertainment, and spiritual programs for the residents of the community. Maintains positive relations with all vendors, prospects, and residents of the community.

Conducts other duties as assigned for the purposes of resolving resident and/or community issues in a timely manner, including: * Participates in onsite leasing and marketing activities at residential units to generate leads for future residents or sell the property. * Attends onsite inspections and surveys at the facility to ensure compliance with Company policies, procedures, and business practices.
